Bring TEDMED 2014 to your Organization

TEDMEDLive: Join the event remotely in real-time or on-demand

TEDMED 2014 happens at the Kennedy Center and via live simulcast at  affiliated auditoriums around the world. TEDMED believes that the future of health and medicine will be shaped by vital input from leading medical colleges, teaching hospitals, government agencies, and other non-profit institutions. And so, in a spirit of collaboration and information sharing, the entire TEDMED event is broadcast free to these institutions. For-profit corporations can click here to view site license rates.

To give you maximum scheduling flexibility and accommodate all time zones around the world, we make all sessions (90 minutes each) available in two formats:

·       REAL-TIME: view TEDMED with the rest of the DC Delegation during the days of the event
(April 8-11th)

·       ON-DEMAND: experience TEDMED on your schedule, during the event and thereafter, through Sunday, April 13th (midnight your time zone)

Your institution can experience as much – or as little – of TEDMED as you choose. For example, you might organize a one-day event with two or three TEDMED sessions (each session features five to seven speakers). Complement the TEDMED sessions with your own speakers on topics of particular importance to your organization. Video record your speakers and share their talks with the rest of the world through TEDMED.com.

Institutions that organize a TEDMED Live event (real-time or on-demand) for at least one session using an auditorium-style format are also permitted to offer access to all TEDMED sessions via individual laptops and tablets.

Delegates at the Kennedy Center and TEDMED Live associates at affiliate sites use TEDMED Connect, our mobile app, to link “live” to the speakers on the TEDMED stage and to each other. We invite up to two Delegates from your institution to attend TEDMED at the Kennedy Center at a courtesy rate, provided that space specially reserved for our affiliates is still available. Your Delegates at the Kennedy Center serve as ambassadors, further linking the audiences and amplifying the experience for everyone.

We are proud to have designated the following affiliates as TEDMED Live Flagship hosts during our 2013 event

These engaged partner institutions helped us innovate on the TEDMED Live format by creating new and unexpected experiences for their audiences and local speakers.

For their important contribution to the TEDMED community, each flagship affiliate received a Delegate scholarship to attend TEDMED at the Kennedy Center in Washington D.C., allowing us to further integrate our audiences and learn from each other.

Flagship Qualifications

To qualify as a Flagship Affiliate, your institution must have a history of indisputable excellence, a reputation as a center of innovation, and a commitment to improving humanity's health. You must also agree to do the following:

  1. Organize TEDMED Live at your campus, using an auditorium or stage experience, during at least one day from April 8-13 with a minimum live audience of 100 participants
  2. Complement our Kennedy Center program with your own local speakers to discuss topics of particular importance to your audience.
  3. Organize social breaks between sessions, providing food and snacks to encourage unexpected conversations and collaborations.
  4. Effectively promote your TEDMED Live event throughout campus, encouraging broad participation from multiple departments, disciplines, and fields.
  5. Make sure your entire campus knows that individuals will also have access via individual computers/tablets to all talks, real-time and on-demand, during the TEDMED event itself (April 8-11) and on-demand during the ensuing weekend (through April 13th).
  6. Use social media (Twitter, Facebook, Google Plus) to discuss your TEDMED Live event, to create content (comments on talks, etc.), and engage others.
  7. Create a thirty-second video to promote your event, post it on You Tube, and send us the link (we may play it at the Kennedy Center for everyone around the world to watch).
  8. Encourage use of TEDMED Connect, our mobile app, to connect your audience/campus with TEDMED Live audiences around the world and with the Delegates at the Kennedy Center. The app will be available for download shortly before the D.C. event.
  9. Read and understand everything about TEDMED Live at www.tedmedlive.com, become an expert and give us feedback.
  10. Help us innovate the TEDMED Live format by creating something unique and unexpected.

In return, your institution receives one full scholarship to attend TEDMED at the Kennedy Center, waiving the entire $4,950 Delegate registration fee.  All meals during TEDMED are provided and included with your scholarship, as well as full access as Delegates to all events and evening gatherings. You are responsible for travel and hotel expenses. We provide local transportation from listed hotels to and from the Kennedy Center and evening celebrations. Your TEDMED Live Delegate to the Kennedy Center will serve as your institution's ambassadors to TEDMED, helping us link our audiences and learn from each other. If you would like to become a TEDMED Live Flagship affiliate, please register your institution at www.tedmedlive.com and then email us at tedmedlive@tedmed.com to let us know that you want to be designated as a TEDMED Live Flagship affiliate. We have limited number of spots available.

Athens

TEDMED is a magical place to be. A meeting point for innovative leaders who arrive from different areas and share a common idea: to create a better future in health and medicine. The sensational experience of an event of TEDMED is not possible to be described rather to be lived.

On 21st April 2013 is organised, for first time in Greece, in the main stage of Onassis Cultural Center, TEDMED Live Athens 2013 under which will be hosted short speeches and outstanding presentations that aim to inspire new thinking and show the way for varied perspectives and possibilities in health and medicine. Greeks and international speakers from all over the world will stimulate imagination, create inspiration and motivate thoughts into becoming actions to each and every one who is passionate about health and medicine.

At the same time, in TEDMED Live Athens 2013 event, an open, vivid and live debate  is going to take place  regarding Great Challenges in health and medicine. ”Health forward” is TEDMED Live Athens‘s motto for future challenges and opportunities while it makes use of medicine as an ally for a life full of health and well-being.

TEDMED Live Athens 2013 pledges to organize an unforgettable event in which are included: Excellent Speakers. Thoughtful Audience. Magnificent Ideas.

Imperial College

Consistently rated amongst the world’s best universities, Imperial College London is a science-based institution with a reputation for excellence in teaching and research that attracts 14,000 students and 6,000 staff of the highest international quality. Innovative research at the College explores the interface between science, medicine, engineering and business, delivering practical solutions that improve quality of life and the environment – underpinned by a dynamic enterprise culture.

Situated in South Kensington, London's cultural heartland, Imperial College can boast The Science Museum, The Natural History Museum, The Victoria & Albert Museum and Hyde Park as its close neighbours. From this amalgam of intellectual institutions, The Royal Geographic Society (RGS) has been chosen to play host to TEDMED Live Imperial. The RGS's occupancy in South Kensington dates back to 1913 and its history rich venue is a perfect fit for TEDMED Live.

The London event has chosen five guiding themes:

Understanding the Human Mind
We are taking our first tentative steps towards unpicking the entanglement of our body's most complex organ, the brain, and the manifestation of that organ, the mind. What will our understanding of this relationship look like in 20 years time, and what are the implications?

The Body as a Stimulus for Art
The earliest recorded geniuses of civilizations were the great polymaths who practiced a plethora of disciplines in a pursuit to better understand the human condition. It is important to celebrate the understanding afforded a creative interpretation of the body as well as analytical ones.

Staying Alive
The advancement of medicine has lead to generations living progressively longer lives. But these have brought with it a whole new raft of challenges to healthcare. Where should our priorities lie and what tools do we need to combat the changing face of ill health?

Universal Health
What are the problems which we face as a species the world over? How can we enable lesser developed countries to achieve the successful healthcare we expect from today's better developed countries.

Achieving Medical Innovation
What are the best practices for fostering a culture where innovation in the medical is celebrated and new ideas are provided the support to become the cures of tomorrow.

These themes were drawn from a over-arching principle encapsulated by a quote from the celebrated Persian polymath and philosopher Avicenna, who said "There are no incurable diseases, only a lack of will". This message will be used throughout the event to prompt debate and discussion between speakers and attendees.

Celebrating the brain power of Imperial College

The Danish artist Per Arnoldi, in collaboration with Imperial imaging scientist Professor Jo Hajnal, created the big brain image in Imperial’s main reception. Per Arnoldi added color to a transverse section of a normal adult male brain scan taken using one of a new generation of medical imaging devices in the Faculty of Medicine’s Imaging Sciences Department.

TEDMEDLive Bologna

Bologna will host the first event TEDMEDLiveBologna, with international speakers on the stage of the Aula Magna inside the Rizzoli Orthopaedic Institute, to explore a holistic approach to medicine with a focus on innovation, personalised medicine, complementary medicine, e-health, the patients’ role in reshaping health care and medical research.

We will try also to propose ideas and solutions to current and future societal challenges.

Bringing together innovators from excellent research centers and different professional sectors for a day of discussion and dialogue on the stage, the event has been ideally designed as a source of inspiration to help the emergence of international collaboration, providing the ability to build global networks that can help to understand the challenges of research in the medical sector in the coming years.

We work also with the aim of building an international community through “social media” to share the spirit of open exchange and multicultural ideas and passion to improve medical research and public health services.

Our goal is to offer a platform for multidisciplinary holistic approach to medicine thatis lacking in Europe.

The conference will be just the beginning of this journey …

Who participates at TEDMEDLive Bologna?

Because innovation often comes from collaboration, TEDMED  is the ideal platform to bring together specialists from dozens of different fields.

Our guests offer very different visions to stimulate the development of new ideas, trends, technologies and therapeutic approaches.

TEDMED allows the participation of a broad cross section of society, which can influence both inside and outside the fields of medicine and technology. U.S. Department of Veteran Affairs

No enterprise, public or private, can endure without innovation. At the VA Center for Innovation (VACI), we introduce innovative technologies, methods, and processes into the largest civilian cabinet agency, a nationwide organization of more than 300,000 employees who provide health care and benefits to over eight million Veterans.

Through Industry Innovation Competitions, Employee Innovation Competitions, Prize Challenges, and Special Projects, we invest in promising solutions to address the most important challenges VA faces in its constant pursuit of improvement. Examples range from empowering patients with access to their own electronic health records, to putting time- and life-saving mobile technology into the hands of clinicians, to developing effective models for helping Veteran entrepreneurs succeed in launching new businesses. All projects are measured by their ability to improve the quality of VA care and services, increase access to those services, reduce or control costs, and improve customer satisfaction.

VACI represents VA’s commitment to continuous innovation. And while the initial track record of innovation at VA is promising, the real work lies ahead in institutionalizing a culture of enterprise-wide innovation that supports informed risk taking, rewards results, and challenges the status quo.

Successful innovation requires structure, resources, and people. With VACI, we're laying those foundations with a staff committed to trying new ideas and solving problems. Along with our competitions and challenges, which remain an important part of the Center, we have developed four distinct components to further enable collaboration with innovators from across the spectrum of the private sector, academia, and the Federal Government, bringing to bear new ways to source ideas and investigate solutions.

Since our initial launch, VACI has funded more than 135 innovations covering all aspects of VA’s mission and demonstrating real-world solutions to real-world challenges.

Not all funded innovations will be rolled out nationwide. We follow a lifecycle of:

that allows us to test the idea in a working environment to ensure it meets requirements and delivers the necessary solution or benefit.

The evaluation stage has three possible outcomes: Go, No Go, Further Development.

Go: These are the projects that passed all the stages of the lifecyle and are proven successes. The next step is to scale them up.

No Go: While these projects didn’t prove what we hoped they would, they are not failures. Every project teaches us something new that we can use going forward.

Further Development: Some projects prove to be promising in the pilot stage, but may require more work. We restrategize with subject matter experts to chart an alternative path to a “Go” status.

Stanford

Stanford University is one of the world's leading research universities. Located in California's Bay Area, Stanford is one of the most intellectually dynamic and culturally diverse areas of the nation. It is world renowned for its entrepreneurial character, and relationship to Silicon Valley. A 2012 study estimated that companies formed by Stanford entrepreneurs generate world revenues of $2.7 trillion annually and have created 5.4 million jobs since the 1930s. Stanford alumni and faculty have created 39,900 companies since the 1930s, which, if gathered collectively into an independent nation, would constitute the world’s 10th largest economy.

StartX, the Stanford Student Startup Accelerator, is proud to host TEDMED live for Stanford students across campus, by blending Stanford’s entrepreneurial interests with today’s pressing medical challenges.

Our event team has chosen to center our discussions around the intersection of entrepreneurship and medical advancement. We will be talking about the following:

Catalyzing Medicine through Commercialization
Can businesses be used as a vehicle to catalyze medical advancement? Which of the problems presented at TEDMED can be amenable to being solved through the formation of companies.

Applying Interdisciplinary Principles to Advance Medicine
How can fundamentals in fields like computer science and cleantech give way to solving some of medicine’s greatest challenges. Are there other lenses through which these problems can be looked at?

Encouraging Medical Innovation in Silicon Valley
How do we capture Silicon Valley’s entrepreneurial energy to foster innovation in the medical field? What resources in the area (i.e Stanford Hospital) can be utilized to further encourage medical innovation.

University of Pennsylvania Health System

The University of Pennsylvania Health System (Penn Medicine) enjoys a long legacy of innovation. Whether through conducting game-changing research, providing world-class clinical care, or delivering medical education, Penn Medicine has been converting ideas into reality for hundreds of years.

In an era of reform in the health care industry, it is important that we rethink how we do things – how we deliver care, create experiences for our patients, and run our operations. The Penn Medicine Center for Health Care Innovation is a facilitator of innovation at Penn Medicine – providing resources, tools, and methodologies that support experiments aimed at achieving positive health outcomes and better patient experiences at lower costs – and to run these experiments quickly and cost-effectively.

In that spirit, The Penn Medicine Center for Health Care Innovation is sponsoring an all-day screening of TEDMED Live on Thursday, April 18th at our space in Penn Tower, with discussions focusing on 3 themes:

  • Connected Health - new delivery approaches that reward keeping patients healthy and that deploy technology and a health care workforce of the future to implement prevention, care coordination, care process re-engineering, team-based care, and the use of data to support new care delivery models.
  • Population Health - improving the health of entire populations of people we serve, not just the health of people when they are in the hospital. The approach considers a wide range of health care determinants including socioeconomic status, access to health care services, cultural considerations, environmental influences and personal behavior that traditional health care delivery models often fail to take into account, but that can have a profound impact on health.
  • Enabling a Culture of Innovation - increasing Penn Medicine’s capacity for innovation – creating the conditions under which many more ideas can be more rapidly tested. Through training on new methodologies for problem identification and prototype development, or by connecting colleagues working on similar solutions for solving problems, The Center for Health Care Innovation can help the faculty and staff of Penn Medicine move their ideas to the next level.

Robert Wood Johnson Foundation

As the nation's largest philanthropy devoted solely to the public's health, we have a unique capability and responsibility to confront the most pressing health and health care problems threatening our society. Our efforts focus on improving both the health of everyone in America and their health care—how it's delivered, how it's paid for, and how well it does for patients and their families. As we invest in improving systems through which people receive care and in fostering environments that promote health and prevent disease and injury, we expect to achieve comprehensive, meaningful, and timely change.

We are guided by a fundamental premise: we are stewards of private funds that must be used in the public's interest. Our greatest asset isn't our endowment; it's the way we help create leverage for change.

We create leverage by building evidence and producing, synthesizing and distributing knowledge, new ideas, and expertise. We harness the power of partnerships by bringing together key players, collaborating with colleagues, and securing the sustained commitment of other funders and advocates to improve the health and health care of all Americans.

Verizon Foundation

The Verizon Foundation is committed to eliminating healthcare disparities in underserved children, women and seniors, improving access to quality healthcare and enabling better chronic disease outcomes through technology.

By partnering with dynamic, forward-thinking organizations, the Verizon Foundation is demonstrating how Verizon’s technology can be used to engineer positive social change, faster and easier. At the same time, this incubation process is generating critical insight, evaluation and data from our partners and deploying technology solutions to the most vulnerable communities through targeted patient health education and disease management programs.

Through the Verizon Foundation’s healthcare programs, the rate at which technology reaches the millions of medically underserved patients nationwide can be accelerated, improving health outcomes for patients who are most impacted by chronic disease.  Our healthcare program is focused on three key segments:

Children

Providing children with improved quality and access to care lessens the impact of socioeconomic factors, which can improve long-term health outcomes.

Women

Women are frequently diagnosed later and are less likely to seek treatment for chronic diseases; providing them with the right tools to empower self-management can make the difference in their overall health.

Seniors

The senior population in the United States is exploding and underserved seniors are more likely to end up in the ER or nursing homes, where outcomes are often fatal.  The longer we can enable “aging in place” for seniors, the better long-term health will be.

Association of American Universities

The Association of American Universities (AAU) is a nonprofit organization of 60 leading public and private research universities in the United States and Canada. Founded in 1900 to advance the international standing of U.S. research universities, AAU today focuses on issues that are important to research-intensive universities, such as funding for research, research policy issues, and graduate and undergraduate education.

AAU member universities are on the leading edge of innovation, scholarship, and solutions that contribute to the nation's economy, security, and well-being. The 60 AAU universities in the United States award more than one-half of all U.S. doctoral degrees and 55 percent of those in the sciences and engineering.

AAU programs and projects address institutional issues facing its member universities, as well as government actions that affect these and other universities.

AAU works to maintain the productive partnership between the nation’s research universities and the federal government. The major activities of the association include federal government relations, policy studies, and public affairs.

Association of Public and Land-grant Universities

The Association of Public and Land-grant Universities (A۰P۰L۰U) is a research and advocacy organization of public research universities, land-grant institutions, and state university systems. with member campuses in all 50 states, U.S. territories and the District of Columbia.

The association has 221 members, which comprise all the state flagship universities, the 74 U.S. land-grant institutions, including 18 historically black institutions, and the American Indian Higher Education Consortium (AIHEC, the American Indian land-grant colleges). A۰P۰L۰U institutions enroll more than 3.5 million undergraduate students and 1.1 million graduate students, employ more than 645,000 faculty members, and conduct nearly two-thirds of all federally-funded academic research, totaling more than $34 billion annually.

A۰P۰L۰U is dedicated to advancing learning, discovery and engagement. The association provides a forum for the discussion and development of policies and programs affecting higher education and the public interest.

American Public Health Association

The American Public Health Association is the oldest and most diverse organization of public health professionals in the world and has been working to improve public health since 1872. The Association aims to protect all Americans, their families and their communities from preventable, serious health threats and strives to assure community-based health promotion and disease prevention activities and preventive health services are universally accessible in the United States. APHA represents a broad array of health professionals and others who care about their own health and the health of their communities.

APHA builds a collective voice for public health, working to ensure access to health care, protect funding for core public health services and eliminate health disparities, among a myriad of other issues. Through its two flagship publications, the peer-reviewed American Journal of Public Health and the award-winning newspaper The Nation’s Health, along with its e-newsletter Inside Public Health, the Association communicates the latest public health science and practice to members, opinion leaders and the public.

Below you will find the information we provided to our 2,700+ TEDMEDLive 2013 Affiliates to help organize successful simulcasts at 87 countries around the world. We'll be updating this section shortly, but, in the meantime, it should provide you with an excellent background to start planning your institution's TEDMEDLive 2014 simulcast.  Chose from the links below to jump to a specific section.

AnchorSchedule TEDMED Live with flexibility.

"Successful innovation is not a single breakthrough. It is not a sprint for the solo runner. It is a team sport - a relay race."
QUYEN NGUYEN
Associate Professor, Department of Surgery, UC San Diego

Your institution can experience each TEDMED session from the Kennedy Center both real-time and on-demand. Having access to both formats for all sessions during days of the event, April 16-19th, lets you schedule and program your event with total flexibility and accommodates all affiliates in all time zones. You can even organize your event during the weekend immediately following the event, April 20th -21st; all sessions will continue to be available to you on-demand during these two additional days.

Each TEDMED speaker is powerful individually. Yet, in unison with other session presentations, individual talks become far more poignant. For this reason, we strongly recommend that each 90-minute session be experienced in its entirety.

You are encouraged to invite complementary speakers to your stage and video record their talks. Use this opportunity to discover new talent within your institution or to explore areas in medicine of deep interest to you.

The best talks from TEDMED Live affiliates will be posted on tedmed.com, and the best of those may be invited to speak at TEDMED 2014.

AnchorHost TEDMED Live in an auditorium and your entire campus gets TEDMED free via laptop/tablet too.

Your institution can simulcast as much - or as little - of TEDMED as you choose. For example, you might organize a one-day event with two or three 90-minute sessions (each session features five to seven speakers). Complement the TEDMED sessions with your own speakers on topics of particular importance to your organization.

Institutions that host at least a portion of the TEDMED Live even using an auditorium style format are then permitted to offer access to all TEDMED sessions via individual laptops and tablets.

We also have a limited number of seats for Delegates from our TEDMED Live affiliates to attend TEDMED at the Kennedy Center at a courtesy rate. This is an opportunity to physically link the audiences and explore new ways to leverage TEDMED.

AnchorView on Laptops, Tablets and Standard Definition.

The Real-Time simulcast stream is sent at four different levels of video quality to accommodate various bandwidths on all mobile devices and desktops meeting our technical requirements. Once a real-time session airs, the video of that session will be made available On-Demand.   The video stream for On-Demand videos, however, comes only on two quality levels: High Definition (requiring Flash) and Standard Definition (not requiring Flash).

Once your access credentials have been verified and you enter our simulcast site, you will see a large video player on the top and a carousel of videos immediately below it that looks like this:

The videos displayed on this carousel will be the High Definition videos of the previously aired Real-Time sessions.  The videos displayed in this carousel require flash and high bandwidth and, as such, will not play on iOS devices (iPads, iPhones) or at bandwidths lower than 4mbs.  Just above this carousel (see image above, please) you will see the words: “To view On-Demand in Mobile or Lower Bandwidth, click here.”  Follow that path to watch the sessions On-Demand using iOS devices (iPads, iPhones) or to play in Standard Definition.  The content, but for the quality of the video, is identical.

AnchorCap Your Event with Great Challenges Day and Send a Delegate to DC!

Today’s Great Challenges in Health and Medicine are rooted in a complex web of poorly understood interdependencies among social, commercial, economic, regulatory, cultural and medical factors. Innovation demands our best thinkers and doers from every field and sector of society to collaborate and connect the seemingly unconnected.

TEDMED is inviting select universities, schools of the health professions and teaching hospitals to participate as TEDMEDLive affiliates in Great Challenges Day.

Participating TEDMEDLive affiliates will convene faculty, staff, and students for a simulcast from Washington, DC of the program’s introduction and conclusion, and will break away for approximately two hours between the simulcast segments to facilitate their own focused discussion on one of the 20 Great Challenges. Affiliates will share their discussion points in real time via Twitter, and record video and blog responses from various points-of-view to a single question: “Why do you think this challenge is so difficult to solve?

Your video and blog responses will be posted on TEDMED.com to extend the conversation throughout the year.

The first 20 universities to enroll in this optional program will receive a grant to cover the registration fee of one Delegate to TEDMED 2013 at the Kennedy Center. Your Delegate will be your university’s ambassador to the discussion group in Washington, DC on Great Challenges Day, and will serve to better link our discussion groups.  To enroll your university and get more details please email whitney@tedmed.com.

The "And, But, Therefore" of Storytelling anchors our exploration during Great Challenges Day and will be described further in the opening session with Randy Olson, Ben Lillie, and Erin Barker.

To help you take care of all of the planning and logistics, involved with hosting an event, we've provided some helpful information below. Choose from the links below to jump to a specific section.

Selecting a Venue

From a logistics perspective, its best to select venues that already have a built-in infrastructure, such as university or corporate auditorium. Things to keep in mind:

  • A raised stage with good lines of sight for everyone
  • Ability to project video on high quality HD monitors or screens
  • Ability to have cameras to video record your speakers
  • Space for exhibits, interactive demonstrations, and rest areas
  • Space to mingle, have lunch, enjoy each others company
  • No outside noise
  • Bathrooms conveniently located
  • Comfortable seating
  • Registration/check-in area (everyone should have a name tag)
  • Good stage lighting
  • Required internet connectivity
  • Large enough to accommodate your entire audience, yet intimate enough to foster conversations

Designing a Stage

Here are a few tips for making your set look great and function efficiently:

  • Keep it simple. A dark backdrop is always an effective way to highlight events on stage. Avoid clutter like power cables, laptops, visible water bottles and cameras that will distract viewers.
  • Add cool props. A few nice chairs, an artifact or piece of art will make your set more inviting and add interest.
  • Light generously. If the only lighting available is overhead, supplement it with floor lamps at the foot of the stage.
  • If you are using a video or slides, place them close to the speaker so that the audience doesn’t have to shift their heads to see them.
  • Make sure your speakers have aisle seats with easy access to the stage.

  • Identify the target audience and send a “Save the Date”
  • Identify and start inviting your speaker(s)
  • Familiarize yourself with all the TEDMED Live resources and suggestions on our website
  • Develop a marketing plan to curate the best audience and best speakers
  • Start planning your stage and organizing the video recording of your speakers
  • Create a webpage for the event
  • Think about name tags, interactive demonstrations, food, drinks, social events
  • If you want to send a Delegate to the Kennedy Center at a courtesy rate, now is the time to let us know. For details contact tedmedlive@tedmed.com

MARCH 22

TEDMED Live Connection Test (1): We will open up the first TEDMED Live test on March 22 and leave it open until shortly before the event. Go to www.tedmedlive.org, select your organization’s name from the drop down menu, enter your Affiliate ID, and fill in the rest of the information. Once you are logged in, you will see a sample TEDMED video. If you enrolled recently, your organization may not yet be listed; select TEDMED from the dropdown and use Affiliate ID L11111 to test the feed.

Please be sure to test playing the video in the same setting in which you plan to stage TEDMED Live. You will access TEDMED Live the same way (in real-time: April 16 – 19 and on-demand: April 16 – 21). If you have trouble with the first test, please review the technical requirements and consult your IT staff. If you meet all guidelines and are still having problems, send us an email at tedmedlive@tedmed.com with specific information describing your issue.

To test your bandwidth, we recommend speedtest.net and speakeasy.net.

MARCH 27, from 10:00 am - 11:00 am EST (Eastern Standard Time)

General Q&A with Jay Walker, TEDMED’s Chairman and Curator, and Jose Suarez, TEDMED's CEO. Please click here to listen to a recording of the call.

APRIL 12 and April 16

While you can test access to our simulcast site (www.tedmedlive.org) at anytime prior to start of the event, we are conducting two live streaming tests to simulate the real-time video signal exactly as it will be delivered to you during the days of the event itself

The first test occurs on Friday, April 12th, from 10am to 5pm U.S. Eastern Standard Time (2pm to 9pm GMT).  The second test occurs during the same time window on Tuesday, April 16th, but this last test will come to your directly from The Kennedy Center.

If you will be using any portion of the video feed on a real-time basis, these tests are mandatory.  During the test, you will be able to adjust the quality of the video (lower right hand corner of video player) to ensure that your bandwidth supports your desired video quality -- ideally in High Definition. If you have trouble with the test, please review the technical requirements and consult your IT staff. If you meet all guidelines and are still having problems, send us an email at tedmedlive@tedmed.com with specific information describing your issue. If you wait until the event starts, it will be too late for us to help you.

April 16 – 21: TEDMED

We will provide technical support to you during the week of the event, but we would like you to provide some support to your own members as well. Ideally, your members contact you first, and you contact us if you can’t resolve the issue. You should have already received an email on how to contact us during the event for technical support.

April 20– 21: TEDMED Sessions still online

Sessions will remain available to be viewed on delay through midnight, Sunday April 22 your time zone so you can schedule your program with maximum flexibility.

Curating Your Audience

Curating an audience from multiple disciplines and fields is critical to creating an environment to generate unexpected connections and collaborations among your guests.

TEDMED Live presents an extraordinary opportunity to build relationships – strengthening those are are established and fostering new ones. Consider hosting lunches, dinners, or cocktail parties and inviting board members, trustees, celebrities, alumni, and benefactors.

Make sure that people get to know each other by providing large name tags with clearly visible names. Consider including in the name tag conversations starters such asking your guests to list three things they are passionate about.

Leveraging TEDMED Sessions

What if your institution could host talks by 20 of the world’s most important leaders in health and medicine – all on a single day? The cost would be millions. But the inspiration and impact would be worth every dollar. You don’t have to spend millions to host a million-dollar event in your own backyard. TEDMED will energize your community with the biggest names and most exciting ideas in health and medicine. Your organization can host an event of this caliber, cost-free.

TEDMED is the exclusive gathering where world-class doers and thinkers share their vision of the future of health and medicine. People like E.O. Wilson, Craig Venter, Katie Couric, Dean Kamen, Sanjay Gupta, Billie Jean King, and the directors of the FDA, CDC and NIH.

Thanks to the magic of TEDMED Live, you can bring our dazzling event at the Opera House of the Kennedy Center directly to your local auditorium. You can choose to host TEDMED Live for one day...two days...or all three and a half days of our April 16-19, 2013 event. Providing lunch on-site for your local attendees will encourage them to make surprising connections among people and ideas.

Showcase your own local, in-person speakers to address topics of particular importance to your audience. Video record their talks and send them to us at TEDMED.com. We’ll post the best and the best of those speakers may be invited to the Kennedy Center stage in 2014.

Complementary Speakers

“It’s incredibly gratifying when you give a talk at TEDMED and some of America’s most accomplished doers and thinkers tell you, ‘You know, I never thought about things that way before.’"

- Frances Arnold
Professor for Chemical Engineering, Bioengineering and Biochemistry,
  California Institute of Technology

A challenge worth rising to. That’s how TEDMED speakers describe the opportunity to appear at this one-of-a-kind event. Invite speakers that can share a single insight that’s important for everyone in health and medicine to hear and understand. We call it the “gift” of the talk.

Bring together speakers that will inspire your audience to think across disciplines. Creativity comes from looking at subjects from different angles. The contrasts and parallels between talks creates an intellectual chemistry that captures the audience’s imagination…and triggers exciting conversations during breaks and social time. Focus on topics of particular importance to your audience as well as unexpected topics.

Provide no podiums nor allow notes. Talks should come from the heart. Keep audio visual materials simple. Click here for the type of slides your speakers should use and here for the 10 commandments to share with your speakers.

If you video record your speakers and will want TEDMED.com to consider posting those videos, you’ll need to have the speaker sign this media release form before we’ll consider posting the talk on our website.

Successful TEDMEDLive Talk

DO NOT READ YOUR SPEECH. No matter how well written, reading distances the audience and breaks the mood of conversation that is a hallmark TEDMD. Without exception speakers who read their speeches are not received warmly or with as much attention as those who tell a story of their interest and passion. When possible, please present for the very first time.

The best speeches with the greatest memories have not been for the longest presentations. One of the most warmly received presentations was four minutes. Limit talks to no more than 18 minutes.

10 COMMANDMENTS (Really 12) for a Successful TEDMED Live Talk

Our advice to you is simple:

  1. Be vulnerable.
  2. Tell a story.
  3. Say something you have not said before.
  4. Tell about a failure as well as success.
  5. Talk about new patterns.
  6. Describe what you would like to do next.
  7. Do not read or memorize a speech.
  8. Dress down rather than up.
  9. Visuals & images are great, but avoid ‘Power Points’ with too much text or bullets. Our slide standards may help.
  10. Do not sell a product, service, ask for money for your favorite charity, give a company history or PR from the stage. (The mic might go dead!)
  11. Please come for the beginning of the conference and stay until the end.
  12. Express connections to other talks, but don’t steal time from those who follow.

Click here to download the commandments in a format ready to send to your speakers.

The Role of an Onstage Host

The program host’s main job is to keep the event running smoothly by introducing speakers, keeping their talks within time limits, and helping them with technical glitches, if any. A host should also announce breaks and any changes to the program.

Secondly, a great host will also make pertinent comments about the talk, relating it to other talks or to the theme of the day, and helping to engage the audience.

More tips for successful hosting:

  • Keep speaker introductions short – 30 seconds or less.
  • Avoid giving too much detail on a talk, or injecting your opinion; rather, tease the topic and relate it to the program theme.
  • Use humor judiciously, and do try to get the audience to respond by cheering, clapping or answering in unison – a lively audience makes for a more interesting experience and video.

Engaging the Audience

Organize healthy activities
Consider organizing a run, walk, yoga or another exercise activity to start TEDMED Live on a healthy note. Provide healthy snacks throughout the day. Have a meditation session during a break. Invite an inspirational athlete to your stage.

Include an Innovation Alley
Show cool, new ideas and products from within and outside your institution. The more interactive, the better.

Video Specifications for Recording Your Speakers

Video record your speakers and share their talks with the rest of the world! We will post the best local TEDMED Live talks on TEDMED.com.  Below are some pointers for recording a high-quality video, regardless of what type of camcorder you use.

Setting

Consider what the speakers’ surroundings will look like on video. If your event space does not have a stage, create a stage-like area, with a clean background. Advise your speakers to dress in colors that complement the background you’ve chosen, so that they stand out on video.

Lighting

Your subject needs to be bright and evenly lit. Stay away from harsh shadows. They should stand out from their stage and surroundings. A good spotlight will work best.

Cameras

You can record your speakers with any type of device you choose. You can submit a video that was recorded on a basic handheld digital camera or on multiple professional cameras.  However, we recommend shooting in full HD 1080p, at a minimum 720p. This will ensure clarity when if your speaker’s talk is posted online.

It is imperative you use a tripod, especially with more consumer-end camcorders.
Explore variety in multi-camera productions with a range of shots. If you use multiple cameras, keep a safe distance away from that speaker so that you do not appear in another camera’s shot. Keep a medium shot (from the waist up) on the speaker as your base shot and expand from there (wide, side angle, etc.).

Audio

Sound is 70% of what you see. Be sure to have a strong audio recording. We need to hear your speaker! We recommend a lavalier (clip on microphone). Wireless will give you options for more movement from your speaker, as well as camera position. You may also want to use a strong external sound recorder if your camera does not allow for microphone input (one example is Zoom H4N).

Editing

We recommend you edit the videos before posting them for consideration. If multiple cameras are used, make sure the transitions between shots are smooth and cohesive. It is important that the speaker can be heard and any visual aids that were used can be easily seen.

Video Format

If your speaker’s video is chosen for TEDMED.com, we will email you instructions for sending us high-resolution video files by mail.

Submitting a Video to TEDMED

Your speaker’s TEDMED Live talk must be in English or the video must include English subtitles in order to qualify for TEDMED.com. All videos must be submitted by August 1, 2013.  If your speaker’s video is chosen for TEDMED.com, we will email you instructions for sending us high-resolution video files by mail.

To submit a video of a TEDMEDLive 2013 speaker, send an email to tedmedlive@tedmed.com with “Speaker Video Submission” in the subject line.  You must include the following information within the email in order for your video to be considered:

  • Your name
  • TEDMED Live event name (location where speaker was filmed)
  • City, State/Province, Country of TEDMED Live event
  • Your TEDMED Live location’s Affiliate ID
  • Date of Talk
  • Speaker’s name
  • Speaker’s title and organization
  • Brief biography/qualifications of the speaker
  • Speaker’s topic and description of talk
  • Length of video
  • Link to video (along with password information if required)
  • Copy of the media release form signed by the speaker. Click here to download the form.

You can upload your video to any website you choose. If a password is required to view your video, you must include it in your email. If you are unsure where to post your video, consider YouTube and Vimeo.

It's important to make sure you get the word out about your event, and in today's world there are plenty of options to help you do that efficiently and easily. Choose from the links below to jump to a specific section.

Spreading the Word

On Your College Campus
The following are simple ways to spread the word about TEDMED Live on your campus.

Common Areas

  • Posters are an excellent way to grab attention. To maximize their effect, hang them in common areas: Dining halls, local cafés, bathrooms, department bulletin boards, bars and libraries.
  • Does your college allow sidewalk chalking? If so, chalk lets you create enormous billboards that are certain to be seen. Buy an inexpensive bucket of chalk (the thick kind) and bring those well-traveled sidewalks on campus to life!

Academic Departments

  • Send an email to the heads of departments that you think will want to experience TEDMED Live (think science, technology, and policy). You may be surprised by how helpful a department can be when they get behind something.
  • Visit the department secretary and see if you can leave a stack of flyers or quarter cards for students and faculty. Better yet, see if the secretary will leave a flyer in everyone’s mailbox (a common and often successful request).
  • See if a department head will pay for an advertisement in the school newspaper, which might be available at a reduced rate for a university activity. Our poster is a handy template.
  • Ask the department to announce TEDMED Live. This is normally done in an email blast to the department, or to its website activity board (ask if one exists).

School Newspaper

  • Contact the editors of your school newspaper to tell them about TEDMED Live. Ask them to post an announcement about it, and to attend – they may want to do a write-up of the event.

Student Clubs

  • Send an email to the presidents of student clubs that you think will want to attend TEDMED Live (again, think science, technology, and policy, plus pre-med, wellness groups, etc.). They should jump at the chance to experience TEDMED for free and will likely be your biggest supporters.
  • See if student club presidents will send out an email blast to their members announcing TEDMED Live. This is easy for them to do, especially if you provide the copy and art (the pictures, logos, and text below will help).
  • Enthusiastic club presidents may be willing to hand out flyers or quarter cards to members at their next meeting. It doesn’t hurt to ask.
  • If you are looking for extra hands to help you put on TEDMED Live, have the club presidents ask their members to volunteer.

Student Affairs Department

Using Social Media

Facebook
We strongly encourage you to start a Facebook page for your event.

With a page, you’ll be able to recruit attendees, keep your audience up-to-date on event logistics, and continue conversations that began at your event, encouraging further insights and engagement.

Update your page daily with items such as speaker announcements, photos of the venue, and an introduction of your event host. Invite your Facebook fans to introduce themselves and why they’re coming to your TEDMED Live event, or ask them to suggest topics they would like to see covered, ideas for working groups, or pre- or post-event social functions.

You can also share TEDMED posts, TEDMED blog posts, posts from other TEDMED Live organizations, and videos of your favorite TEDMED talks.

We ask that you include information and a link to http://www.tedmed.com on your page’s “About” section.

Twitter
Twitter is a fantastic way to recruit attendees for your event and to update them on conference details. Help engage followers by creating a separate account and name just for your event. Use #TEDMED or your own event # hashtag to make it easy to search relevant Tweets.

Tweet often, both from your organization’s account, if possible, and from your event account. Announce speakers and topics, talk about logistics, ask folks about which topic interests them most or topics they would like to see covered, and ask questions of other people on Twitter using their @ handle.

Other Social Media
Consider creating an online home for post-event conversations, such as a Google+ page or LinkedIn group.

Creating a Logo for your TEDMEDLive Event

Standard Logo Usage

All TEDMED Live event names should follow the same convention: a name beginning with TEDMED Live, followed by a location-based descriptor such as the name of your city, school, or neighborhood. (E.g., TEDMED Live San Francisco, TEDMED Live Lowell, TEDMED Live SFSU.)

If you plan to host a one-day event using videos on demand instead of simulcasting the event live, you may use "TEDMED Day" instead of "TEDMED Live".

To promote your event, we encourage you to create your own location-based logo.  To help you, we've created a set of sample TEDMED Live and TEDMED Day logos with the location-based descriptor, which follows our logo guidelines. When creating your own logo, it is important that you follow these templates closely so that each TEDMED Live and TEDMED Day event retains the same look and feel.  Here’s a set of simple rules that should help:

  • As shown in the sample above, please align your location below the logo, and to the right.
  • When adding your own location to the logo, use Helvetica, Regular font.
  • When on a black background, your location should appear in white font.
  • When on a white background, your location should appear in black font.

A set of downloadable logos are provided below for you to use as a template.  Using Photoshop, the downloadable .psd file can be easily edited to customize for your event.  Other file types are also provided for your convenience.

TEDMED Live Logo Downloads: Black Background:  .psd  |  .eps  |  .jpg  | .png
TEDMED Live Logo Downloads: White Background: .psd   |  .eps  |  .jpg  | .png

Please note that when TEDMED Live is written as text (not a logo), "TEDMED Live" should be written as two words.  To abide by our branding guidelines, the word “TEDMED” should be written in all in capital letters, followed by a space and then “Live”. "TEDMED Live" written in text should appear in the same color as the surrounding body type. TEDMED Day is always written as two words, as text and as a logo.

Other Important Branding Guidelines:

  • The typeface (Helvetica) is an integral part of our visual identity and should not be changed or substituted.
  • Letter-spacing in the logo templates is already set. Do not alter or adjust the settings.

TEDMED Colors

When possible, a spot color should be used for the logo — this is preferable, because this is the best way to reproduce TEDMED red (Pantone 485). If specifying a spot color is not possible, the 4-color process (CMYK) method of printing may be used.

Frequently Asked Questions about TEDMED Live

What is TEDMED?

TEDMED is where the world’s most creative minds meet to help shape a better future for health and medicine. Some 1,800 leaders from medical and non-medical fields come together at the John F. Kennedy Center for the Performing Arts and tens of thousands more participate via thousands of TEDMED Live affiliates across the globe.

What is TEDMED Live?

During the 3½ days of the TEDMED conference, we simulcast 10 thought-provoking sessions (each about 90 minutes long, comprising five to seven speakers) from the magnificent Opera House at the Kennedy Center in Washington, DC to affiliates around the world. Affiliates program their part of this once-a-year global event by selecting the most relevant Kennedy Center sessions and complementing this inspirational content with their own local speakers on topics of particular importance to their audience. Live simulcast and time-delayed (on demand) viewing capabilities of all Kennedy Center sessions give affiliates maximum flexibility on scheduling during the 3½ days and the following 2 days. Our mobile app, known as TEDMED Connect, brings the audiences together in various ways.

Who attends TEDMED? Who is it for?

TEDMED is for those who are passionate about the future of health and medicine. Delegates who come to TEDMED at the Kennedy Center include global innovators and leaders from medicine, the sciences, technology, business, education, government, religion, law, the armed forces, media and the arts. The audiences at TEDMED Live affiliates comprise a broad range of disciplines and fields. We come together to create unexpected connections, and to explore and inspire ideas and innovations with the ultimate goal of improving the lives of our planet’s seven billion people.

What is the mission of TEDMED?

Our mission is to spark breakthrough thinking and unusual collaborations that can lead to a better future in health and medicine for people everywhere. We do this by bringing together an extraordinarily diverse community of leading doers and thinkers from many disciplines and fields, who cross-pollinate their insights and ideas. The result is innovation, imagination and inspiration.

Is TEDMED affiliated with TED talks?

TEDMED is an independent licensee of the famous TED event. Specifically, TEDMED is TED’s only health and medicine related, full-event licensee. TEDMED and TED work closely together. Videos of many TEDMED stage talks are posted on TED.com as well as TEDMED.com

What does TED stand for?

TED stands for "Technology, Entertainment and Design."

How many TEDMED events are there per year?

TEDMED is a once-a-year global event. TEDMED happens at the John F. Kennedy Center for the Performing Arts in Washington, DC and around the world as TEDMED Live.

So TEDMED Live is not a TEDx event?

No. TEDx events are mini TED-style, self-directed, one-day programs that occur at various times and places around the world. TEDx events must feature speakers that address a variety of topics and not a single subject. TEDMED is a once a year, 3½-day event focused exclusively on health and medicine. It happens at the Kennedy Center in Washington, DC and concurrently at TEDMED Live affiliates. Most affiliates, however, elect to participate during one or two days only.

Is TEDMED a non-profit institution?

No. TEDMED is a for-profit organization, though many components of TEDMED, such as the Patron Fund and the Front Line Scholarship Program, mimic the goals of non-profit organizations, and we are in the process of establishing the TEDMED Foundation towards this end. As an “org.com,” our mission is to advance health and medicine through unexpected collaborations, innovation, imagination and inspiration.

Why would my organization want to participate in TEDMED Live?

On-site Delegates typically pay an event fee of $4,950 per person to attend the TEDMED event at the Kennedy Center in Washington, DC. The TEDMED Live simulcast program offers an unparalleled opportunity for your constituents to see, hear and participate directly in an exciting multi-disciplinary dialog about health and medicine – live, at no charge, and without having to travel. There is no other experience in which your staff, team, faculty or students can experience the dazzling interplay of such varied minds, including Nobel Prize-winning scientists, the world’s most respected doctors and researchers, brilliant technology innovators and world-class artists. But our content is just one of the reasons why you should become part of this worldwide event. Bringing local speakers to your auditorium will encourage you to explore topics in health and medicine of particular relevance to your audience. The combined content will lead to stimulating conversations among your audience and, via the TEDMED Connect mobile app, across audiences at TEDMED Live affiliates around the world, creating unexpected connections and collaborations as we seek to create better solutions to the problems the world faces in healthcare.

Who is eligible to receive TEDMED Live at no cost?

TEDMED Live is available worldwide and, thanks to support from our Partners, free to medical schools, teaching hospitals, health systems, academic and scientific societies, research institutions, health-focused government agencies and other qualified non-profits in the world of health and medicine, including key foundations, and some professional associations.

I am a for-profit organization – how can I receive TEDMED Live?

Various corporate memberships are available that include a license for TEDMED Live. For more information, please contact sponsor@tedmed.com. Your corporate membership helps bring TEDMED Live to non-profit affiliates.

Do attendees at TEDMED Live affiliates just watch?

No. In addition to experiencing the TEDMED sessions in high definition, and seeing local speakers live, associates are encouraged to engage in conversations during breaks and communicate with other audiences via TEDMED Connect, our mobile app. During the live simulcast, associates may also ask questions directly to speakers on the Kennedy Center stage. The conversations that happen off stage are just as important as what you experience from the stage.

What is the TEDMED Connect mobile application?

The TEDMED Connect mobile application is a simple-to-use app that allows audiences from around the globe to connect with each other, learn more about the speakers at the Kennedy Center, and interact in various ways. Still under development, it will be available, thanks to the Verizon Foundation, a few weeks before the event.

Where can I find the TEDMED Connect mobile application?

The TEDMED Connect mobile application will be available at no charge approximately one to two weeks before the event from the Apple Store and from Google Play, and will be accessible as a mobile-optimized website. Check TEDMED.com for updates.

How can my organization put its unique accent on TEDMED Live?

We encourage you to build your own local meetings, events and programs around the TEDMED Live program. Each day offers one to four sessions, each 90 minutes long. You might organize a one-day event (“TEDMED Day”) with two or three sessions (each featuring five to seven speakers) and then complement the TEDMED sessions with your own speakers on topics of particular importance to your organization. Video-record your talks and send them to TEDMED.com; the best will be posted on our site and the best of those speakers may very well be invited to the Kennedy Center stage the following year.

Your organization can host meals, interactive demonstrations, morning runs, yoga breaks, or simply encourage your local attendees to meet, mix and mingle. Curating an audience comprising individuals with very different backgrounds and expertise will yield unexpected conversations and collaborations.

Can I charge admission or sell tickets to TEDMED Live?

TEDMED Live is provided on the condition that it is free to attendees in qualifying organizations. You may ask your audience or local sponsors to contribute money to defray your costs, but you should not seek to make a monetary profit from the event.

Is there any cost for an organization that hosts TEDMED Live in a remote auditorium?

TEDMED Live is free to qualifying non-profit organizations. For these organizations, all the costs of TEDMED Live are paid for by our Session Sponsors, Partners and other for-profit corporations.

Will there be a Program Guide?

Each TEDMED Live affiliate is encouraged to create its own program guide. We will provide you with the speaker line-up for each TEDMED session and biographies for each of the speakers. A few weeks before the event, we’ll publish the final schedule for sessions and speakers. This session data will also be available through TEDMED Connect.

When will TEDMED announce topics and speakers for all sessions at the April 16-19 event?

The final program for TEDMED 2013 will be released a few weeks prior to the event. Because all sessions will also be available to view on demand through midnight Sunday, April 21st (in all time zones), you’ll be able to schedule your program as you prefer. We encourage you to sign up for our email newsletter to stay informed as speakers are announced, and to receive the final program as soon as it becomes available. You can sign up at the bottom of the home page at TEDMED.com.

We would like to listen to a specific speaker; when will we know the schedule?

Please refer to the previous question for more information. But we encourage you to think of TEDMED more as an opportunity to inspire your audience about the possibilities in health and medicine and less as a channel for listening to any particular speaker or topic. Each TEDMED speaker is individually powerful. Yet, in unison with other session presentations, individual talks become far more poignant. For this reason, we strongly recommend that each 90-minute session be experienced in its entirety.

Does our organization have to simulcast the entire event or can we pick and choose which sessions we would like to join?

Your institution can simulcast as much – or as little – of TEDMED as you choose. For example, you might organize a one-day event (we call it a “TEDMED Day”) with two or three 90-minute sessions (each session features five to seven speakers). Complement the TEDMED sessions with your own speakers on topics of particular importance to your organization. Institutions that create a TEDMED Live event for at least one day using an auditorium-style format are permitted to offer free access to all TEDMED sessions via individual laptops and tablets.

What is the difference between a simulcast and a webcast?

Our simulcast is a high-volume, multi-camera, HD feed. The video stream is specifically designed and engineered for an auditorium or roomful of people. Because our simulcast is delivered through the web, it can also be considered a live webcast.

Can I view the simulcast via my individual computer?

Institutions that organize a TEDMED Live event (using either real-time or on-demand video streaming from the Kennedy Center) for at least one day in an auditorium-style format are then permitted to offer desktop computer access to all TEDMED sessions during April 16th-21st.

What are the technical requirements needed to participate in the simulcast?

You will need a minimum of 1 Mbps (1000 kbps) for SD or 3 Mbps (3000 kbps) for HD through a wired Internet connection and a large display screen/monitor suitable for the size of your auditorium or event room.

PC/Mac Requirements:

  • The latest version of Chrome, Firefox or Safari
  • The latest version of Flash
  • Display: 1280x720 (720p)
  • 1.83 GHz Intel Core Duo or faster (Mac) or 2.8 GHz Intel Pentium 4 or faster (PC) processor
  • At least 256MB (Mac) or 512MB (PC) of RAM
  • 64MB or greater video card
  • Connection to a dedicated Ethernet line with at least 1 Mbps download bandwidth for SD or 3 Mbps for HD

Mobile Requirements:

  • Current iOS device,
  • Current Android phone or tablet with a high level of desktop Flash support, or
  • Current Windows Tablet (NOTE: At this time we do not support Windows Phone playback.)

What type of browser do we need to view TEDMED Live?

We recommend you use Chrome, Firefox and Safari, but not Internet Explorer. It is recommended that you update your browser to the latest version for the best results.

Do we need any other special software?

You will need the latest version of Flash.

Operating SystemSoftwareDownload Location
Windows, MacOSFlash Video Player 11http://get.adobe.com/flashplayer/

I can't download the required software to my computer. What do I do?

Ask your network administrator or IT support staff for assistance in downloading and installing the necessary software.

How do I dedicate bandwidth to the event?

Contact your IT manager to assess your viewing location’s bandwidth capacity. Tell your organization’s IT department that you will be streaming 1 mbps (1000 kbps) of live SD video or 3 mbps (3000 kbps) of live HD video through a wired Internet connection on the date(s) of the event. Request that your IT department ensures your viewing location has dedicated bandwidth capacity so your audience does not experience lag time or stuttering video during the event.

What is the minimum size room that I need to have?

Ideally you should have an auditorium, but rooms that accommodate 25 or more individuals are also acceptable.

Can I test my signal and/or bandwidth? When will we receive our password to test the simulcast?

Yes, you are required to test your signal and bandwidth. Password, procedures and test dates will be announced much closer to the event.

TEDMED is taking place on the U.S. East Coast (Eastern Standard Time zone), but my organization is in a different time zone. Is there an option to time-shift or delay sessions?

Yes. TEDMED is available live during the days of the event and each session becomes available to view on demand shortly after its live simulcast. Sessions will remain available for viewing through midnight Sunday, April 21st (in all time zones).

When will each of the TEDMED sessions be simulcast live?

Click here for the latest schedule.

What happens during the breaks?

TEDMED Live is made possible thanks to the generosity of our Session sponsors. An interview with a leader of the organization sponsoring the particular session will play at affiliate locations immediately following the Kennedy Center session. Jay Walker, TEDMED’s curator, conducts the interviews, and these are meant to be informative and add to the overall experience. After the interview, there will be an on-air clock showing the countdown time until the event comes back live with the next session. Remember, you will also have access to all prior sessions to view on demand.

Is there a deadline to sign-up for TEDMED Live?

Yes. We will let you know what the deadline is closer to the event, but the sooner you apply, the better.

My institution is unable to participate this year, but is interested in viewing the sessions. Will all sessions be available to view at some time after the event?

Five or six speaker videos are released each week, commencing 60 days after the event, on TEDMED.com.

When can we expect to test our system to ensure compatibility?

You will perform several tests before the event. We will send you instructions and links that will enable you to test your system for both live simulcast and on demand viewing.

How will we connect to the event on the day it happens?

TEDMED will send you a password a few days prior to the event that will allow you to connect to the live simulcast and on demand viewing. The sessions will remain available through midnight Sunday, April 21st (in all time zones).

What if our Internet connection fails?

In case your Internet connection fails on your end (not ours), consider having backup options such as redundancy in Internet service providers or making a DVD of select TEDMED2012 talks or 2013 sessions prior to your start.

Do you have redundancy in connections in case something goes wrong with the feed?

There are several layers of redundancy in case of loss of the feed.
  • Two separate fiber lines out of the Kennedy Center
  • Web encoding at main distribution center and back up encoding onsite at the Kennedy Center.
  • Manual tape backup delivered to distribution center (20 min. delay)

Is TEDMED Live also being provided to international locations?

Yes. TEDMED Live is available around the world in 2013. For now, it is only transmitted in English.

How may international TEDMED Live affiliates participate given the time differences?

To accommodate various time zones and scheduling preferences, affiliates also have the option to experience all of the TEDMED sessions on demand. This allows you to show an entire session as it happened on stage, but at a time of your choosing. Each session will be available to view on demand shortly after it has taken place through midnight Sunday, April 21st (in all time zones). So, for example, you might select the Kennedy Center Wednesday morning session and show it at your location on Thursday morning - or Thursday evening. It depends on what is most convenient for your local TEDMED Live audience.

This content, available exclusively to you as a TEDMEDLive affiliate, will not be available to the general public until a few months after the event has taken place in April. Individual talks will be released to TEDMED.com on a weekly basis commencing 60 days after the event and will be available to everyone for free, as always.

I am an international organization. Due to time difference, will it be possible for the audience to interact with the speakers in any way?

Members of your audience can send questions to the speakers on the Kennedy Center stage using TEDMED Connect, our free mobile app. In order for their questions to be answered, however, users will need to send the questions during the time that the talk is taking place at the Kennedy Center. This may be challenging for you, particularly during the sessions that take place when it is nighttime in your country. However, please keep in mind that we have tens of thousands of TEDMED Connect users around the world that may be sending in questions and comments for the speakers and that only a few will be chosen to have their submissions read on stage. TEDMED Connect is also a great way for Delegates at the Kennedy Center and associates at TEDMED Live affiliates around the world to chat, make new connections, share ideas and contribute to the Great Challenges discussion.

Is TEDMED 508(c) compliant?

One very large institution required 508(c) compliance during TEDMED Live 2012 and it assisted us to defray this added expense. We will determine affiliate requirements in 2013 and plan accordingly.

Will you have a help desk for technical questions during the event?

Yes. We will provide details a few days before the event.

May we send someone from our organization to attend the TEDMED event in person at the Kennedy Center?

Yes. We have a limited number of seats for Delegates from our TEDMED Live affiliates to attend TEDMED at the Kennedy Center at a courtesy rate. This is an opportunity to physically link our audiences and explore new ways to leverage TEDMED. Send us an email at admissions@tedmed.com for further details.

How can I stay informed about TEDMED?

There are a variety of ways to stay up-to-date on TEDMED news and information. You can sign up for our newsletter at the bottom of the page, you can follow us on Twitter @TEDMED and on Facebook, and you can sign up for our blog RSS feed.

How can I become involved with TEDMED?

First, join the TEDMED community by creating a member profile. Next, join the discussion on issues you care about in our Great Challenges Program. TEDMED is about sharing ideas and perspectives from passionate people all over the globe who represent many different disciplines, both medical and non-medical. The Great Challenges Program keeps the conversation going all year long.

Can I serve as a volunteer in some capacity to help the TEDMED event?

TEDMED welcomes creative and talented people who want to lend their time and skills to help make TEDMED a success. Here are a couple of areas where your skills would be helpful:

  • Speaker Coaching: We are committed to making all talks on the TEDMED stage world-class. If you are an experienced speaker or speechwriter, your abilities could help our speakers polish their presentation.
  • Speaker Presentation Materials: If you are a talented designer and/or illustrator with experience in bringing presentations to life, your skills could help with our speaker presentation materials.
  • Promoting TEDMED Live: Consider working with a TEDMED Live affiliate to help promote their program.
